Catering Booking Policy

Thank you for considering Southern Twist Catering Company for your special event. We are committed to providing exceptional food, outstanding service, and a seamless catering experience. Please review our booking policies below.

Booking Your Event

To secure your event date, a signed catering agreement and a 30% non-refundable retainer are required.

Your event is not considered reserved until both the signed agreement and retainer have been received.

Because we accept a limited number of events each week, we encourage clients to book as early as possible.

Payment Schedule

  • 30% Non-Refundable Retainer – Due at the time of booking to reserve your event date.

  • Remaining Balance – Due no later than 7 days prior to your event.

Events booked within seven (7) days of the event date require full payment at the time of booking.

Guest Count

A preliminary guest count is requested when booking.

The final guaranteed guest count must be submitted no later than 7 days before your event.

Once the final guest count has been confirmed, it cannot be reduced. Additional guests may be accommodated based on availability and may result in additional charges.

Menu Changes

Menu selections may be modified up to 14 days prior to your event, subject to product availability.

Requests received after this deadline may not be accommodated.

Event Changes

Any changes to your event date, location, service time, or event details should be submitted as soon as possible.

While we will make every effort to accommodate changes, they cannot be guaranteed based on scheduling and availability.

Cancellations

The 30% retainer is non-refundable and non-transferable.

If a cancellation occurs after food has been ordered, rentals have been reserved, staffing has been scheduled, or preparation has begun, additional charges may apply.

Service Times

Our catering team will arrive according to the timeline outlined in your catering agreement.

If service extends beyond the contracted time due to circumstances beyond Southern Twist Catering Company's control, additional labor charges may apply.

Buffet Service

Buffet service is maintained for the contracted service period.

For food safety reasons, Southern Twist Catering Company reserves the right to remove buffet service at the scheduled conclusion of service.

Leftover Food

Due to food safety regulations, any food that has been properly maintained during service may be packaged for the client upon request.

Southern Twist Catering Company is not responsible for the quality or safety of food once it leaves our control.

Dietary Restrictions & Allergies

We are happy to accommodate dietary preferences whenever possible.

Please notify us of any food allergies or dietary restrictions during the planning process.

While we take precautions, we cannot guarantee an allergen-free environment.

Rentals & Equipment

Any rental items provided by Southern Twist Catering Company remain our property and must be returned in the same condition in which they were provided.

Replacement fees may apply for lost or damaged items.

Delivery & Setup

Delivery fees are based on event location.

Our catering service includes professional buffet setup. Additional setup, décor styling, or breakdown services may be added for an additional fee.

Photography

Southern Twist Catering Company may photograph food displays, décor, and buffet setups for marketing and portfolio purposes. We make every effort to avoid photographing guests without permission.

Force Majeure

Southern Twist Catering Company shall not be held liable for delays or cancellations caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, government restrictions, or other unforeseen emergencies.

Client-Provided Food & Beverages

Southern Twist Catering Company understands that clients may wish to provide specialty desserts, cultural dishes, alcoholic beverages, or other food items as part of their event.

For the safety of all guests, Southern Twist Catering Company is not responsible for the preparation, quality, storage, temperature, or safety of any food or beverages supplied by the client or third-party vendors.

We reserve the right to decline serving any food or beverage that has not been stored, transported, or maintained in accordance with safe food handling practices.

Client-Provided Alcohol

Clients who choose to provide their own alcoholic beverages are responsible for ensuring compliance with all applicable federal, state, and local laws.

If bartending services are provided by Southern Twist Catering Company, all alcoholic beverages must remain under the control of our bartender(s) during the event.

Southern Twist Catering Company reserves the right to refuse service to any guest who appears intoxicated or whose behavior poses a safety concern.

Outside Vendors

We are happy to work alongside your chosen vendors to help make your event a success.

However, Southern Twist Catering Company is not responsible for the performance, timing, products, or services provided by other vendors, including but not limited to:

  • Bakers

  • Food vendors

  • Food trucks

  • Beverage vendors

  • Decorators

  • Rental companies

  • DJs

  • Photographers

  • Florists

Food Safety

For food safety reasons, buffet service is limited to the contracted service time.

Once food leaves Southern Twist Catering Company's control, we cannot guarantee its quality or safety and assume no responsibility for improper storage, transportation, or reheating.

Overtime Service

Your catering agreement includes the service hours specified in your contract.

Additional service time requested on the day of the event is subject to staff availability and will be billed at $50 per staff member, per hour, or any portion thereof, unless otherwise stated in your agreement.
